East Austin nonprofit Chula League’s 16th Annual Cherrywood Art Fair, to be held on December 9 & 10, 2017, is looking for an experienced Logistics Coordinator.

We are looking for an outstanding, hardworking, and extremely organized self-starter to manage operational event logistics on site at Maplewood Elementary. You will be main point-of-contact between Maplewood, after-school program partners and CAF leadership.

Responsibilities include:

  • Act as school liaison – provide all communications with school and coordinate with all after-school partners (Creative Action & Extend-a-Care) on Fair schedule and need to find alternate spaces to cafeteria and gym for Friday load-in, and act as emergency representative during Fair
  • Set up/attend meeting with School Administrators/Custodian to ensure trash dumpster is emptied prior to fair.
  • Check/update inventory in storage for all current signage and work with Producer on signage requirements.
  • Facilitate building access by arranging for AISD personnel to open closets, teacher lounge, entrances (remove metal bars) during load in on fair days and locking of building at Fair close Fri, Sat & Sun.
  • Oversee U-haul truck rental, manage volunteers and assist with physical load out of supplies from storage to school and vise versa for Thursday 12/7 storage load-in before Volunteer Orientation and Sun 12/10 pack-up
  • Assist Artist Coordinator with the Fair layout setup helping to mark booth measurements and taping off indoor artist booths Thurs eve during volunteer orientation and Friday afternoon, ready for artist load-in 12/8 at 4pm
  • Manage flip of cafeteria (remove tables/set up auction tables) & gym (remove gym equipment/store in hallway)
  • Manage custodial worker, recycling partner, and trash collection vendor and ensure they stock adequate supplies of toiletries, paper towels and replace/empty garbage bags as needed during Fair
  • Supervise logistics team volunteers and assist with traffic management – ensure Church parking signs are displayed; coordinate porta potty delivery/installation by music stage; and liaise with valet/pedicab vendors
  • Assist in tear down of Fair components and work with Producers to ensure final cleanup of event site (swept, mopped, wiped down, reset properly)
  • Attend production meetings as assigned
  • Provide professional biographical information for Team page on website
  • Participate in post-event team survey and team debrief meeting
  • Toss grass seeds on Maplewood grounds in early Spring 2018
